Guidelines for Exhibiting Companies

1. Common to All Exhibition Plans

All companies participating in JIHE are required to submit the following form.

b. Advance Shipment / Move-in & Move-out

Guidelines

  • Thursday, November 13, from 14:00 to 18:00, is designated as a preparation day for exhibitors.
  • Please ensure your setup is completed on November 13. Note that entry will not be permitted before 14:00 on November 13 due to construction.

Labeling of Shipped Materials

To avoid confusion or loss, please ensure the following information is clearly marked on all packages shipped in advance.
The company name must match exactly with what will appear on the company nameplate.

Vehicle Move-in & Move-out

  • Advance application is required for move-in and move-out using vehicles.
  • Due to limited parking space, multiple vehicles are generally not permitted. For vehicle move-in/out, time slots will be assigned in 20-minute intervals. Requests for specific times cannot be accommodated in principle; however, please contact the Secretariat if you have unavoidable circumstances. Please note that leaving vehicles on site is not allowed.
  • Vehicle move-in/out is only permitted during the following times. Please note that early-morning vehicle move-in on the event day is not allowed:
    • Thursday, November 13, 13:00–17:00
    • Saturday, November 15, 17:00–19:00
  • Entry times will be announced by the Secretariat one week in advance.
  • The deadline to submit the Vehicle Application Form is October 29. Strict deadline.

※ Details regarding vehicle move-in and move-out will be provided directly to the relevant exhibitors.

Shipment of Materials After the Event

  1. In principle, all exhibitors are requested to take their materials back with them. Only if unavoidable, the Secretariat can arrange collection and shipping at 2,000 JPY per item. Please note that the number of items we can accept is limited, and we may not be able to accommodate all requests. Whenever possible, please arrange shipment on your own.
  • Shipping will be carried out from the following day. Specific delivery dates cannot be requested.
  • Available courier: Yamato Transport (parcel size limit: total dimensions up to 160 cm / weight up to 25 kg). Oversized or overweight items, precision equipment, or inadequately packed items will not be accepted.
  • If you wish to request shipping, please fill out the application form (distributed on the morning of the final day) with the required information and number of items, and pay the handling fee in cash.
  • Shipping slips (cash on delivery) will be available at the Secretariat, but please bring your own in advance whenever possible.
  • Any items left unregistered or abandoned in the venue will be discarded by the Secretariat, and disposal costs will be charged to the exhibitor afterward.

Default Booth Image

  • The default setup for a single booth is shown in the images below.
  • You may bring your own equipment.
  • A back panel will be provided as standard, but side panels will not. A company nameplate will be attached to the back panel. If you choose not to use the nameplate or if you cover it with a tapestry, please ensure your booth number and company name (as listed in the pamphlet) are clearly visible to visitors.
  • Additional equipment may be arranged separately (may incur charges depending on your plan).

d. Electrical Work

Guidelines

  • Every booth will be equipped with an outlet. If you plan to bring high-power devices such as microwaves, coffee servers, kettles, or professional equipment, additional electrical work will be required. Please notify us by Thursday, October 23. Additional charges may apply.
  • A fee of ¥10,000/day (excluding tax) will be charged for electricity usage for all booths.

e. Online Exhibition – Granstra

If you wish to participate in the online exhibition, please apply using the form below.
The exhibition period will run for 6 months, from November 5, 2025 to May 4, 2026.
This enables you to present your services to customers who are unable to attend in person.

Handouts

The following items will be distributed at the reception desk:
  • Pamphlets

If you wish to distribute any of the above items, please submit the form below.
Flyers or other materials not declared in advance cannot be distributed, even if sent to the venue.

How to Send Visitor Handouts in Advance

  • Advance Shipping
    • Please ship visitor handouts to the venue in advance.
    • Shipments must be scheduled to arrive by the morning of Wednesday, November 12.
    • Shipments arriving earlier than this date cannot be accepted.

b. Meeting Room Reservations

Applicable Plans

  • Priority Reservation:
    • Black
    • Platinum
    • Gold
  • Other participating companies may reserve after the priority period, at 10,000 JPY (excl. tax) per slot.

Guidelines

  • Four meeting rooms (A–D) will be available for business meetings during the event.
  • Usage time: 11:00–18:00 / 45 minutes per slot.

🏅 Free Usage Quota by Membership Status

  • Black Members: Up to 4 slots
  • Platinum Members: Up to 3 slots
  • Gold Members: Up to 1 slot
Additional usage beyond the free quota will be charged.

📌 Reservation Start Dates (first come, first served)

  • Black Members: From 14 days prior
  • Platinum Members: From 12 days prior
  • Gold Members: From 10 days prior
  • General (remaining slots only): From 7 days prior

Notes

  • Advance reservation is required (first come, first served).
  • Please enter the room promptly at your reserved time.
  • You must vacate the room within your reserved slot. Extensions are not allowed.
  • Keep the room clean and take your trash with you.
  • Leaving belongings or materials in the room is prohibited. Remove all items after your session.
  • In case of damage or stains, please report immediately to the Secretariat.

c. Mini-Seminar Reservations

Applicable Plans

  • Exhibitors
    • Black
    • Platinum
  • Other participating companies may reserve after the priority period, at 100,000 JPY (excl. tax) per slot.

Guidelines

  • During the event, companies may hold their own seminars in a designated space within the venue.
  • Usage time: 11:00–18:00 / 40 minutes per slot.
  • Seminar content is subject to prior review. Please note that some proposals may be declined.
