1. Sale of Alcoholic Beverages During the Event

The sale of alcoholic beverages and drinking within the venue are permitted; however, as a rule, please serve drinks in cups or glasses. To sell unopened alcoholic beverages, you must obtain a retail license for alcoholic beverages with time restrictions. The sale of alcoholic beverages to minors is strictly prohibited by law.
Sales are only permitted on November 15.

2. Smoking

  1. Smoking tobacco is prohibited throughout the venue, including designated smoking areas.
  1. Only vape products may be used in the smoking room on the 5th floor of the venue. Vape products must only be used inside the smoking room.

3. Noise Regulations

Exhibitors may play audio from devices such as computers and smartphones, but please adjust the volume so that venue announcements remain audible. If the sound is deemed too loud, event staff may ask you to lower the volume.

4. Restoration & Waste Disposal

  1. At the end of the event, exhibitors must restore their booths to their original state.
  1. If booths are not restored properly or leftover materials remain, the organizers or designated contractors will dispose of them on your behalf and charge the cost to the exhibitor.
  1. If you need the organizers to dispose of waste, please purchase garbage bags provided by the organizers at 2,000 JPY per bag. Only combustible waste, non-combustible waste, glass bottles, cans, and PET bottles can be disposed of at the venue. All other waste must be taken back by the exhibitor.

5. Venue Decoration

  1. Do not attach items to the ceiling, walls, or pillars with strong adhesive tape, or use nails.
  1. Spraying or painting inside or outside the venue is prohibited.
  1. Hanging decorations are only allowed on batons.
  1. Spray-painting inside or outside the venue is strictly prohibited.
  1. Please turn off all main power switches when leaving; leaving them on may pose a fire hazard at night.
  1. No live animals are allowed, except guide dogs, service dogs, and hearing assistance dogs.

6. Illegal Parking Prohibited

  1. Please refer to the parking information above. Illegal parking on public roads near the venue, which may obstruct traffic, is prohibited during both move-in/out and the event.

7. Fire & Hazardous Materials

The use of open flames and IH cooking appliances is prohibited. Microwave ovens are permitted.

8. Name Badges & Wristbands

For safety and theft prevention, all exhibitors and related personnel must wear designated name badges during the event. Wristbands must also be worn at networking parties.

9. Photography

  1. Photography, video recording, and sharing on social media within the venue are permitted. Please obtain permission from anyone appearing in the content to avoid disputes.
  1. Organizers will take photos and videos of exhibitors and visitors for records and PR purposes for future events. If you do not wish to be photographed, please inform the organizers in advance.
  1. Copyright of all photos and videos taken by the organizers belongs to the organizers (Asabis Co., Ltd. and Green Zone Japan). These may be used for promotional activities.

10. Safety Precautions

For demonstrations that may pose risks to human safety, exhibitors must take necessary precautions in advance. Please pay close attention to the safety of performers and fire risks.

11. No Move-out During Event Hours

Move-out during event hours is strictly prohibited. If unavoidable, please consult the organizers.

12. Subleasing Exhibition Space

Exhibitors may not assign, sublease, permit use of, or transfer any part of their exhibition space to third parties. Exhibiting third-party products or equipment within your booth is also prohibited.

13. Violations

The exhibition will be run under relevant laws and with guidance from government authorities to ensure safety and prevent trouble. Prohibited acts or disruptive behavior will be immediately addressed and must be corrected.

14. Cancellation of Exhibiting Rights

Exhibitors may have their contracts terminated without notice if any of the following apply. In such cases, no exhibition fees will be refunded:
  1. Subject to compulsory execution, provisional seizure, or tax delinquency.
  1. Bankruptcy, corporate reorganization, civil rehabilitation, or similar proceedings filed.
  1. Business discontinued, changed, or dissolved.
  1. Engaged in acts contrary to public order and morals.
  1. Involvement with organized crime or antisocial forces.
  1. Determined to have an adverse effect on the exhibition.
  1. Exhibiting from a region deemed to have infectious disease risks.

15. Exhibition Regulations

 
Only products listed in the exhibition application form are permitted for display. Any changes or additions must be submitted to the Secretariat no later than one week prior to the event, and only those approved will be allowed. Products in violation of relevant laws and regulations will not be accepted. Furthermore, regardless of prior notification, any products that do not fall into one of the following categories are strictly prohibited from being exhibited or promoted at the event:
  1. Products planned, manufactured, and sold directly by the exhibitor
  1. Products for which the exhibitor has entered into a sales contract with the manufacturer for the Japanese market
  1. Products for which the exhibitor has obtained permission from the manufacturer to exhibit at this trade show (a certificate of proof is required)
In addition, the following products are not permitted:
  1. Products containing ingredients that may be designated as controlled substances in the future
  1. Products related to multi-level marketing (MLM) schemes
※ Even during the exhibition, if any exhibitor is found to be displaying, exhibiting, or conducting business activities in violation of the above regulations, the organizer reserves the right to immediately remove not only the relevant products but also the exhibitor’s entire booth. In such cases, exhibition fees will not be refunded.

16. Promotions

  1. Exhibitors may distribute catalogs, pamphlets, and samples within their booth. Distribution in aisles, entrances, or in ways that inconvenience others is prohibited.
  1. Sticker distribution is prohibited as it may cause damage to the venue or other booths. Any damages or claims resulting from sticker distribution will be the responsibility of the exhibitor.

17. Insurance, Management & Liability

  1. The organizers bear no responsibility for theft, damage, or accidents involving exhibits or personal injury within the venue. Exhibitors are encouraged to insure their exhibits.
  1. In the event of an accident, report immediately to the organizers.
  1. Exhibitors are responsible for managing their booths. A representative must always be present. Exhibitors will be held liable for any damages to venue property or equipment.
※ Damage to floors from dragging decorations/exhibits has occurred frequently during move-in/out. Please take care.

18. Postponement, Relocation, Downsizing, or Cancellation

  1. If the exhibition cannot be held due to disasters, pandemics, political instability, or other circumstances beyond the organizers’ control, the event may be postponed, relocated, downsized, or canceled.
  1. If the government or venue prohibits the event, or if the organizers cancel, full refunds will be issued. However, no refunds will be given for cancellations on or after Nov. 15, 2024 (move-in day).
  1. In the case of postponement or relocation, the existing contract remains valid. Cancellations by exhibitors will be refunded minus costs already incurred.
  1. Exhibitors cannot claim damages or compensation for losses due to postponement, relocation, downsizing, or cancellation. In the event of cancellation, full refunds will be issued.
